
Looking for a Home Meals Coordinator
Location: Braybrook/ Springvale/ Richmond
Reports to: ADS Executive Manager

Role purpose:
The Home Meals Coordinator is responsible for overseeing the daily operations, planning, coordination, and delivery of meal services under the Commonwealth Home Support Program (CHSP), and meals for HCP and NDIS clients. This role ensures the efficient operation of meal services to support older people and people with disability in maintaining their health and well-being. The Coordinator will supervise a team of a Meal Service Coordination Officer, Meal Administration Officers, and Meal Delivery Workers, work with meal vendors, maintain compliance with funding requirements and ensure high-quality meal service delivery to clients.
What we are looking for:
A. Program Coordination & Delivery:
- Oversee the planning and execution of meal deliveries, ensuring efficiency and adherence to service schedules.
- Work with meal vendors to ensure meals meet dietary and nutritional requirements.
- Monitor and maintain accurate records of client orders, payments, and program statistics.
- Develop and implement policies and procedures for effective program management.
- Supervise Service Coordination Officers to ensure smooth intake of new clients including assessments, support plan, and scheduled re-assessment for existing clients
- Supervise Administrative Officers in processing meal orders, communication with meals vendors, client data entry, invoicing, and document management.
- Supervise Meals Delivery Workers to ensure timely and high-quality meal delivery to eligible clients.
B. Team Leadership and Supervision:
- Lead and supervise a team of Meal Service Coordination Officers, the Meal Administration Officer, and Meal Delivery Workers.
- Provide guidance, training, and performance support to ensure staff meet service quality standards.
- Foster a positive and collaborative team environment to enhance service delivery and staff engagement.
- Conduct regular team meetings and provide clear communication on service updates and operational changes.
- Work closely with the team to address any service disruptions, client concerns, or delivery issues.
C. Client & Stakeholder Engagement:
- Ensure clients receive appropriate meal options based on dietary requirements and cultural preferences.
- Conduct regular check-ins with clients to assess their needs and program satisfaction.
- Address client feedback, complaints, and concerns in a timely and professional manner.
- Work closely with HCP Care Managers, NDIS Support Coordinators, and other stakeholders to ensure seamless service integration.
- Build relationships with local agencies, community groups, and stakeholders to promote the program.
D. Financial & Compliance Management:
- Assist in budget management and resource allocation to optimise service efficiency.
- Ensure compliance with Commonwealth Home Support Program (CHSP) guidelines, other relevant aged care regulations, food safety regulations, and organisational policies and procedures
- Prepare reports on service delivery, client trends, financial performance, and program impact for funding bodies and stakeholders.
- Identify funding opportunities, prepare grant applications, and support fundraising initiatives.
- Oversee invoicing, payment follow-ups, and financial tracking in collaboration with admin staff.
E. Continuous Improvement & Quality Assurance:
- Monitor program performance and implement improvements to enhance service efficiency.
- Ensure adherence to food safety, handling, and hygiene regulations.
- Conduct regular client satisfaction surveys and feedback sessions.
- Stay updated on government policies, and best practices in meal delivery services.
- Work with the team to ensure accurate data collection, reporting, and compliance tracking.

Who you are:
- Ability to work both independently, and in a team in a fast-paced, busy, dynamic environment.
- Strong organisational skills, with the ability to manage time effectively and problem-solve.
- Active listening skills, excellent communication abilities, and the ability to work well with a diverse community.
- Proficient in data entry and experienced in using Microsoft Office applications.
- Experience in one-on-one client work in the social/ community services sector, including dealing with challenging client situations, preferred.
- Previous experience in a similar role, or an equivalent combination of training and experience is an asset.
- Knowledge of CHSP
- Understanding of issues related to frail aged clients and familiarity with the cleanliness and hygiene requirements of food handling.
- Multilingual skills: Proficiency in other languages will be considered an advantage
