Looking for a Payroll Assistant

Location:  Braybrook/ Springvale/ Richmond/ Thomastown

Reports to: Finance Manager

Employment type:  Full-time

Role purpose:

The Payroll Assistant will assist the Finance Manager to provide crucial support to the finance department by ensuring that payroll processes run smoothly and efficiently. You will also assist with administrative duties and contribute to the overall finance operations

What we are looking for:

1. Payroll Management:

  • Assist in processing the fortnightly payroll for all employees using MYOB software.
  • Ensure timely and accurate payments, including adjustments for overtime, bonuses, and leave balances.
  • Help maintain employee payroll records, ensuring updates for new hires, terminations, and other employment changes are correctly processed.
  • Prepare and distribute employee payslips

2. Administration Support:

  • Assist in maintaining up-to-date employee files, including contracts, timesheets, and leave records.
  • Provide administrative support in onboarding processes, including gathering payroll-related documentation from new hires.
  • Maintain the confidentiality of employee payroll data and sensitive information.

3. Payroll Compliance and Reporting:

  • Support the preparation of payroll tax, PAYG, superannuation, and other statutory reports to ensure compliance with tax laws and regulations.
  • Assist in the reconciliation of payroll accounts and resolve discrepancies.
  • Assist with end-of-year payroll activities, including the preparation of payment summaries.

4. Employee Queries:

  • Respond to payroll-related inquiries from employees, providing clear and timely assistance.
  • Assist employees in accessing payslips, updating personal details, and applying for leave

Any other relevant duties as reasonably required by Finance Manager.

Who you are:

  • A certificate IV in Payroll or Bookkeeping and Accounting, or a related field is preferred.
  • Experience in a payroll or administration role is essential.
  • Strong knowledge in Management Accounting and Financial Accounting
  • Excellent communicator and ability maintain strong stakeholder engagement
  • Proficiency in accounting software (e.g., MYOB, QuickBooks, Xero) and advanced Microsoft Excel skills.
  • Competencies with Microsoft Office suite
