Looking for a Home Meals Service Coordination Officer

Role purpose:

The Home Meals Service Coordination Officer is responsible for overseeing the day-to-day operations of the Home Meals Service program, ensuring that all clients receive nutritious meals in a timely and efficient manner. The role involves coordinating with clients, meal vendors, and staff to manage meal deliveries, monitor client satisfaction, and ensure compliance with funding requirements, particularly for clients supported by CHSP funding. The Coordination Officer also plays a key role in community outreach, client intake, and providing administrative support to ensure that all aspects of the program run smoothly.

What we are looking for:

A. Client Support and Coordination

  • Assist with the intake process for all Home Meals Service clients
  • Deliver menus to clients and assist them in selecting meals according to their preferences.
  • Coordinate and manage client meal orders, ensuring that they align with the client's funding from CHSP
  • Participate in follow-up processes, including home visitations as required by contracts or as deemed necessary.
  • Assist clients with Food Support applications and provide information on other available community resources

B. Vendor and Staff Coordination

  • Interact with staff and meal vendors to ensure timely and accurate meal deliveries.
  • Work with meal vendors to secure product quality or arrange substitutes when needed.

C. Scheduling and Reporting

  • Prepare and update weekly client schedules and submit them to the meal’s vendor.
  • Organise data collection for grant reporting purposes, including information on funding, budgets, and foundation grants.

D. Community Outreach and Client Engagement

  • Interface with the community regarding Impact of Home Meals Service program and assess the needs of the program.
  • Develop and implement marketing efforts to recruit new clients.
  • Design, implement, and evaluate annual surveys for clients and their families.

E. Emergency Support and Documentation

  • Deliver meals on an emergency basis when necessary.
  • Perform word processing and mailing of documents, including monthly client statements, reports, letters, and newsletters.

F. Phone and Inquiry Handling

  • Attend to the Home Meals Service phone line and respond to all inquiries from clients, families, and community members.

Who you are:

  • Ability to work both independently, and in a team in a fast-paced, busy, dynamic environment.
  • Strong organisational skills, with the ability to manage time effectively and problem-solve.
  • Active listening skills, excellent communication abilities, and the ability to work well with a diverse community.
  • Proficient in data entry and experienced in using Microsoft Office applications.
  • Experience in one-on-one client work in the social/ community services sector, including dealing with challenging client situations, preferred.
  • Previous experience in a similar role, or an equivalent combination of training and experience is an asset.
  • Knowledge of CHSP
  • Understanding of issues related to frail aged clients and familiarity with the cleanliness and hygiene requirements of food handling.
  • Multilingual skills: Proficiency in other languages will be considered an advantage
